Automating Communications in Messengers

The client was a school photography studio specializing in graduation albums, portraits, and full-cycle photo projects — from shooting to design and printing. The main goal of the project was complete automation of user communication through WhatsApp. The catalyst for change was the loss of control over the flow of requests: with remote communication lacking intelligent systems, it was extremely difficult to track album production statuses and promptly answer typical questions. The requirement was to implement a virtual assistant that could seamlessly guide customers through each stage of material preparation, reduce the workload on managers, and make responses faster, more accurate, and more polished while maintaining a high level of service.

Client Request: Chaos in Correspondence and Loss of Order Control

The business specifics involve hundreds of simultaneous conversations with parents and graduates. Managers physically couldn't process WhatsApp messages in time, got confused about layout readiness stages, and lost photo session requests. Manual control led to delayed responses, decreased loyalty, and the inability to scale the studio without exponentially expanding the administrative staff.

Solution: Implementing an AI Manager Based on Smart Platform

Over two months, a team of two specialists deployed a software complex based on artificial intelligence. We integrated WhatsApp with a corporate AI platform, configuring a system of prompts and the studio's knowledge base. The bot was trained to imitate a real person: it recognizes intentions, checks album status in the database, provides consultations on services, and independently books sessions.

Stack: Laravel, PHP, PostgreSQL, OpenRouter, Wappi API

The system core was Laravel 12 with a reliable PostgreSQL database. For generating meaningful responses, we utilized the OpenRouter aggregator, allowing flexible switching between advanced LLMs. Messenger integration was implemented through Wappi API. This technology stack ensured uninterrupted 24/7 operation, instant response, and easy knowledge base management through a convenient admin panel.

Impact: 3x Faster Scaling and 24/7 Operation

The neural network implementation allowed 100% replacement of qualified staff on the first line of support. The virtual manager flawlessly conducts dialogues around the clock, instantly providing statuses on layouts and printing. Business scaling speed increased 3-fold (x3), as the studio's throughput is no longer limited by the human factor. Clients receive instant responses, which led to a noticeable influx of new orders.

Future Plans - Launching Voice AI Manager for Calls

The next stage of ecosystem development will be the integration of speech technologies. We're preparing to release a smart voice assistant that can independently call the database, notify about print run readiness, conduct full live voice dialogue, and answer any questions in real time.
